With so many printer manufacturers coming and going within the MPS market, and with hundreds of resellers, dealers or partners selling these products/services, it can be somewhat difficult to see the wood through the trees.

Here are our top tips for procuring a Managed Print Service:

Don’t make a purchase on price alone
We have seen examples of customers playing suppliers off against each other on a race to zero. Print is a critical service that every business uses and needs. If a supplier keeps moving their prices to win the business, what services are they going to not provide you?
This is an often-overlooked consequence of price dropping.

The supplier should know your business as well as you do… if not better
MPS is more than just a box in the corner; finance departments need the service for invoice runs, marketing use them for concept design art and proofing, admins need them for meeting document preparation etc.

If the supplier doesn’t take the time to understand you, your business and your business objectives, there is a high chance that they will recommend a solution that won’t fit those goals and it won’t be until the solution has been installed and running for a period of time before you even realise.

Can they solve a problem?
You may be close to the end of your MPS contract with your current supplier and with GDPR and data protection aspects of compliance being a huge hot topic during your contract, Print could be a black hole that could get your business into trouble. Secure print is just one of the possible solutions to rectify this problem as you look for a new provider.

Secure print is a solution where your employees click print on a document and rather than the document going straight to their selected printer and print immediately, the software will hold the print job and enable the user to go to any printer in the business, type in a 4 digit PIN, swipe a card or fob, or for the brave people, you could get an RFID chip implanted in your hand and swipe this. This security check will then push the print jobs through. This sort of solution is perfect for finance houses, legal firms and any other business handling lots of sensitive data.

Apps, apps everywhere
Developers aren’t only focusing on app development for mobile devices anymore. The core technology of a printer hasn’t changed too much over the past 5-10 years; but the ability to program printers to do more than just print, copy, scan is a rapidly evolving area and could be a key business driver to selecting a print service. Integration from the printer into Account software through OCR is possible and a much quicker and efficient way of entering invoice data into accounts payable than the traditional manual process.

Do you trust them – long term
So many MPS resellers/dealers have given themselves bad reputations by selling solutions that are not fit for the customers, don’t meet the needs of the customer or what was originally discussed during the audit/specification stage, or the support and/or customer service or account management has let them down.

Before committing to a provider, ensure you do your due diligence, make sure that you are getting what you have discussed and what you are paying for and if you are not – don’t suffer in silence. Contact the Account Manager or customer service team and get the help
